Quick answer

We collect only the information needed to generate and deliver your documents — your names, address, date of birth and email — keep order records and PDFs for 12 months to honour your re-download link, then delete them. We never sell your data, never use former names in marketing, and there are no accounts.

What data do you collect, and why?

Only the fields our forms ask for: current and new names, home address, date of birth (to route under-16s correctly), and your email address (the delivery address for your PDF). For child deed polls, the child’s details and the names of parental-responsibility holders; for statutory declarations, the facts your declaration states. Every field has a document purpose — we never ask for gender, title, or your reason for changing your name. Lawful basis: contract performance for order data; consent for any marketing, which is off by default.

How do you treat names and former names?

Names and former names are identity data, and we treat them as high-sensitivity in practice. Your name pair exists only to generate your documents and deliver your order. We never use former names in marketing data or analytics, and support correspondence is kept discreet. This matters especially for trans customers: the form is identical for everyone, and no one will ever ask you to explain your name change.

How long do you keep my data?

Order records and generated PDFs are retained for 12 months — that is what makes your unlimited re-download link work — then automatically deleted. Financial records are retained only as tax law requires. After deletion, nothing can be recovered, so keep a local copy of your documents.

Who processes my data?

Our sub-processors: Stripe (payments), Resend (transactional email), our hosting provider, and privacy-light analytics. We do not sell or share your data with anyone else, and analytics cookies load only with your consent.

What are my rights?

You have the full set of UK GDPR rights: access, rectification, erasure, restriction, portability and objection. Email support@instantdeedpoll.co.uk and we will respond within 30 days. We are registering with the ICO before launch and will publish the registration number here.
