Privacy Policy

Only the fields our forms ask for: current and new names, home address, date of birth (to route under-16s correctly), and your email address (the delivery address for your PDF). For child deed polls, the child’s details and the names of parental-responsibility holders; for statutory declarations, the facts your declaration states. Every field has a document purpose — we never ask for gender, title, or your reason for changing your name. Lawful basis: contract performance for order data; consent for any marketing, which is off by default.

Names and former names are identity data, and we treat them as high-sensitivity in practice. Your name pair exists only to generate your documents and deliver your order. We never use former names in marketing data or analytics, and support correspondence is kept discreet. This matters especially for trans customers: the form is identical for everyone, and no one will ever ask you to explain your name change.

We store order records and generated documents to deliver your purchase and support the advertised 12-month re-download service. The download period does not currently trigger automatic deletion of stored files. You can request deletion by emailing support@instantdeedpoll.co.uk; we will explain any records that must be retained for accounting, disputes or legal obligations. Download and keep your own copy before requesting deletion.

Cloudflare hosts the site and stores order documents; Stripe processes payments; Resend delivers order emails. Optional usage statistics use Cloudflare Analytics Engine. These providers process the information needed for their role. Ordinary hosting and security logs may include technical request information; our custom usage events exclude IP addresses and customer identifiers.

We ask before recording optional page, tool, preview and checkout events. If you allow them, events contain a known page path, product type and broad source category such as Google, Bing or another referring site. They exclude names, email addresses, dates of birth, postal addresses, document contents, raw referrer URLs, query strings and unique visitor IDs. Where you consent, the broad landing-page attribution accompanies the order so a confirmed payment can be counted.

Your allow/decline choice is stored on this device for up to 180 days. Consented landing-page attribution lasts for the browser tab session. Use Privacy choices at the bottom of any page to withdraw consent; this stops further browser events and clears the session attribution. Browser Do Not Track and Global Privacy Control signals also keep optional statistics off. Completed aggregate events are not linked to a visitor identifier. Your order and support remain available if you decline.

While you fill in an order form, your answers are saved in this browser on this device so you can come back and finish later. They are not an account, and they are not sent to us until you preview or pay for a document. Saved answers expire 30 days after your last change: the form stops using them and deletes them the next time you open one of our order forms. When the order confirmation page in this browser shows that your documents are ready, the answers that order was made from are deleted from this browser. Answers saved for another order, including one you started after this order, are kept. You can also delete them at any time with the Delete saved answers from this device button on each form, or by clearing the site’s browser storage. Avoid leaving answers saved on a shared device.

The organiser works without saving. If you choose its save option, checklist selections and progress are kept in your browser on this device. They are not an account and are not sent to us as analytics. Avoid saving on a shared device. Use the organiser’s delete-saved-plan control to remove that local copy, or clear the site’s browser storage.

Independent review invitations are currently disabled while the review profile is being set up. The prepared integration requires a verified profile and a separate optional checkout choice. If enabled later and you opt in, it schedules one neutral invitation three days after document delivery, with no incentive or reminder. Never put names, addresses or document contents into a public review.

You can ask about access, correction, deletion, restriction, portability or objection by emailing support@instantdeedpoll.co.uk. The applicable rights depend on the circumstances. We will explain the response and any applicable exceptions. You can also raise a concern with the Information Commissioner’s Office.
